Need to save a specific folder — like that cluttered “Projects” folder or your “2023 Emails”— outside of Outlook? Exporting it as a .pst file is a safe and easy way to back up or share a folder.

Here’s a step-by-step guide to help you export just one folder from your Outlook inbox.

 


✅ Step 1: Open the Outlook Export Tool

  1. Open Outlook.
     

  2. Click File in the top-left corner.

     

  3. Select Open & Export 

  1. Select Import/Export.

 


✅ Step 2: Choose Export to a File

  1. In the Import and Export Wizard, choose:
    Export to a file → Click Next

     

  2. Select Outlook Data File (.pst) → Click Next

     

 


✅ Step 3: Select the Folder You Want to Export

  1. Browse the list of folders and select only the folder you want to export (e.g., “Projects”).
     

    • ✅ Important: Make sure “Include subfolders” is unchecked if you only want that one folder.
       

  2. Click Next
     

 


✅ Step 4: Save Your .PST File

  1. Click Browse to choose where you want to save the file.
     

    • Choose a name and location you’ll remember (e.g., Projects_Backup.pst)

  2. Choose one of the following options:
     

    • Replace duplicates: Overwrites older .pst files with the same name.
       

    • Allow duplicates: Keeps everything, even duplicates.

✅ Step 5: Add a Password (Optional)

You’ll be prompted to add a password. You can:

  • Leave it blank and click OK (most users do this)
     

  • Or set a password if you're storing sensitive data
