📘 Migrating Data from iCloud to OneDrive

Purpose:
This guide walks you through the process of downloading your work-related data from iCloud (Drive, Desktop, Documents, and Photos) and moving it to your OneDrive account provided by the organization.


🔧 Prerequisites

  • Access to your current Apple ID

  • A stable internet connection

  • Your OneDrive account and password (company-issued)

  • OneDrive client installed and signed in on your Mac


🔁 Step 1: Sign In and Check iCloud Data

  1. On your Mac, go to System Settings > Apple ID.

  2. Make sure you are signed in to iCloud.

  3. Open the Finder and check these locations:

    • iCloud Drive

    • Desktop (if enabled in iCloud)

    • Documents (if enabled in iCloud)

    • Photos (via the Photos app)

Tip: Confirm which folders/files are stored only in iCloud and not on your local machine.


📥 Step 2: Download Your iCloud Files Locally

For iCloud Drive:

  1. Open Finder > iCloud Drive.

  2. Press Cmd + A to select all files and folders.

  3. Drag and drop them into a temporary folder on your local desktop (e.g., iCloudBackup_May2025).

⚠️ This ensures that all files are downloaded and not just "cloud-only" placeholders.

For iCloud Photos:

  1. Open the Photos app.

  2. Go to Photos > Preferences > iCloud.

  3. Select Download Originals to this Mac.

  4. Wait for the download to complete.


☁️ Step 3: Set Up OneDrive

  1. Open the OneDrive app on your Mac.

  2. If not installed, download it from the Mac App Store.

  3. Sign in using your company Microsoft 365 credentials.

  4. Choose a folder location for your OneDrive (e.g., OneDrive - CompanyName).

  5. Let OneDrive initialize and sync.


📤 Step 4: Move Data to OneDrive

  1. Open the folder where you downloaded your iCloud files.

  2. Open your OneDrive folder in a new Finder window.

  3. Drag and drop your work-related files (Documents, PDFs, spreadsheets, project folders) into OneDrive.

✅ Ensure OneDrive starts syncing (check for green checkmarks on files).


❌ Step 5: Exclude Personal Files

Before uploading, check and remove any personal photos, videos, or documents that should not be stored in OneDrive.


✅ Step 6: Verify Sync Completion

  1. Open the OneDrive app from the top menu bar.

  2. Ensure that sync status shows “Up to date.”

  3. Double-check that all critical files are visible in your OneDrive web portal:
    https://onedrive.live.com


🔚 Step 7: Sign Out of iCloud (When Instructed)

Only after your data is backed up, the IT team will guide you to:

  • Sign out of iCloud

  • Disable Find My Mac

  • Erase and re-enroll your device with a Managed Apple ID


💡 Tips & Reminders

  • Only migrate work-related data to OneDrive.

  • Avoid syncing your full Photos library unless business-critical.

  • You can always access OneDrive files from any device at onedrive.live.com.
